Information Notice on the Processing of Personal Data

In accordance with the Law on the Protection of Personal Data No. 6698 (“Law”), as EKOM Group acting in the capacity of data controller, we process your personal data with due care and diligence within the scope of the services we provide to you. In this context, we would like to inform you about the purposes for which your data is processed, with whom it may be shared, and the method by which your data is collected.

  1. Purposes of Processing Personal Data

The personal data you share with us — including your identity and contact details, as well as digital trace data collected through institutional resources when you visit our website via e-mail (by non-automated or partially automated means), through e-mail and online messaging applications, or through physical forms — may include photos or video recordings taken with your consent when visiting our workplace or attending meetings and events. These visual and audio records, identity information (name, surname, trade name), contact details (e-mail address, mobile phone number), and transaction security data (access information) are processed by EKOM Group to provide the best possible service to our clients, limited to the following purposes:

  • Execution of sales support, activation, and logistics service processes provided by EKOM Group, and processing of data belonging to customer/supplier employees or other persons involved in such transactions.
  • Creation of visitor records and ensuring the security of our workplaces.
  • Retention of traffic data records in accordance with Law No. 5651.
  • Organization of meetings, events, trainings, conferences, or other gatherings.
  • Ensuring the security and continuity of information systems as part of data protection measures.
  • Management of customer relations and improvement/development of related business processes, as well as conducting analysis, surveys, and reporting activities.
  • Execution of communication and marketing (advertising, campaigns, promotions) processes.
  • Registration of memberships on the website.
  • Execution of contract processes.
  • Opening of current accounts and conducting reconciliations related to product/service purchases.
  • Communication with business partners and suppliers, recording information obtained during such communication, and contacting you when you reach out to us through communication channels.
  • Examination of information and documents to ensure the compliance of received services and service providers.
  • Fulfilling the requests of official institutions and implementing decisions conveyed to EKOM Group.
  • Carrying out archiving and record-keeping activities.
  1. Transfer of Personal Data

Your collected personal data may be shared with:

  • Our suppliers providing IT or specialized consultancy, products, or services (including legal and financial consultants, lawyers, accountants, independent auditors, banks, occupational physicians, occupational safety companies, training providers, database and hosting service providers, user authorization and IT service providers, courier and maintenance providers, digital or physical storage providers, incentive consultants, laboratories, and internet access providers).
  • Authorized public institutions and organizations, courts, prosecutors’ offices, law enforcement, and other judicial/administrative authorities, to fulfill legal reporting, declaration, and auditing obligations; conduct official correspondence; manage legal disputes; exercise legal rights; and meet obligations under incentive programs.
  • Our digital storage service providers for the recording of meetings.
  • Authorized institutions, service providers, and storage/server suppliers in relation to occupational health and safety processes, periodic examinations, and accident management — limited to the purposes described in Article 1 and required by legal regulations.
  • Regulatory and supervisory authorities, professional organizations, and other parties permitted by law, as well as companies from which we receive services or collaborate with, including EKOM Group and its subsidiaries EKOM Tanıtım, Bireysel Tanıtım, and Transpop, and shared databases used jointly with these entities.
  1. Method and Legal Basis for Collecting Personal Data

Your personal data is collected for the above-mentioned purposes, in compliance with the fundamental principles set forth in the Law, based on the following legal grounds: where it is stipulated by law; necessary for the performance of a contract; necessary for the fulfillment of the data controller’s legal obligations; publicly disclosed by you; or necessary for the legitimate interests of EKOM Group, provided that it does not harm your fundamental rights and freedoms. Collection methods include:

  • Orally, in writing, or electronically via closed-circuit camera systems when you visit our workplaces.
  • Through applications submitted by e-mail.
  • Through software and applications used by EKOM Group.
  • Via cookies and social media channels when you visit or register on our website.
  1. Your Rights Under the Law

Pursuant to Article 11 of the Law regulating the “rights of the data subject,” you may submit your requests using the “Data Subject Application Form,” which can be obtained at the address İçerenköy Mah. Değirmenyolu Cad. Kutay İş Merkezi C Blok No:16 Bostancı, Ataşehir, Istanbul, or by sending an e-mail to info@ekomgroup.com, provided that your identity is verified.

EKOM Group will respond to your requests within 30 (thirty) days in accordance with Article 13 of the Law, depending on the nature of your request. If the process incurs a cost, the tariff determined by the Personal Data Protection Authority will apply. In case of rejection, the reason(s) for the rejection will be provided in writing or electronically.
